Why USB Drives Remain an Unsolved Problem for Security Administrators
In the endpoint security practice of any large enterprise, the USB drive is a stubbornly awkward object. It is cheap, portable, and cross-platform compatible, which makes it indispensable to the business side; it is also one of the most common exfiltration channels, which makes it a persistent headache for the information security team. A single unremarkable flash drive can traverse the R and D department, the finance team, and the sales floor in a single week, carrying sensitive documents, source code, contracts, and customer lists beyond the corporate perimeter. Traditional IT asset inventories rarely catch these devices. A USB drive has no fixed owner. It plugs in, it is used, and it is gone.
The engineering structure exposed by the Ping64 console, specifically the two modules under Endpoint Management named Mobile Storage and USB Access, shows that USB control is no longer a single-policy problem. It is an end-to-end pipeline that spans device discovery, ownership attribution, usage tracking, risk assessment, access approval, and post-event auditing. The design intent of Ping64 is to treat every USB drive that has ever appeared inside the enterprise as a manageable asset in a ledger, and then to answer three concrete questions for each drive through a combination of type classification (normal, authorized, encrypted, read-only, secure) and a claim mechanism: who owns this drive, who is accountable for it, and what is it allowed to do.
For a seasoned administrator, the value of this structure is that security policy stops being a blunt on/off switch labeled “block all USB”. Instead, policy can be tiered by asset class, delegated by department, and graded by risk level. Corporate drives can move through high-privilege channels. Personal drives can be placed on read-only or approval rails. Visitor drives sit on an exception allowlist. Every access event is captured as a queryable, alertable, and audit-ready record. The sections that follow unpack four dimensions of this capability, grounded directly in the real page structure of the Mobile Storage ledger and the USB Access module within Ping64.
A USB Asset View Built from Ledger, Claim, and Risk Grading
Inside Ping64, the main professional view for USB drives lives under Endpoint Management / Mobile Storage. The page banner reads, “Unified view of mobile storage assets, claim status, usage activity, and risk posture.” Directly below are five summary cards: total discovered mobile storage devices, claimed assets, devices on the watchlist, high-risk devices, and the aggregate data transfer volume across all devices (with bytes automatically rendered in human units). These five numbers form the first glance an administrator takes when entering the Ping64 console in the morning.
Below the cards sits the USB asset table. Its column design closely matches how administrators actually review the inventory. Columns include the device name (preferring the display name, then the administrator-assigned name, then the client-reported name), claim category plus asset code, USB type, most recent user, activity summary (rendered as “X sessions / Y endpoints / Z users”), data transfer volume (total bytes plus a file-event counter), risk level (with associated event count), last-seen timestamp, first-seen timestamp, and notes. Ping64 divides USB types into five clean categories: normal drive, authorized drive, encrypted drive, read-only drive, and secure drive. Those five come straight from the capability boundary on the client side. A normal drive is an off-the-shelf consumer stick. An authorized drive is an enterprise-registered read-write drive recognized by the client through its asset code. An encrypted drive sits under the transparent encryption module. A read-only drive is write-blocked at the client layer. A secure drive combines encryption and policy into an integrated form factor.
The claim category answers the question of ownership. Ping64 supports five claim states: unclaimed, corporate asset, personal drive, visitor drive, and watchlist drive. Corporate assets can be further refined into five asset statuses: in use, frozen, lost, recovering, and retired. For any corporate drive, the administrator can configure the asset code, the responsible department, the responsible owner, the current holder, the intended purpose, the security level, tags, and free-form notes. In practice, the responsible-department picker loads the endpoint and group tree, and the responsible-owner picker only unlocks after a department has been chosen. This tight binding turns “ownership” from a free-text string into a structured attribute coupled to the organizational hierarchy, which is what makes downstream aggregation, alerting, and permission assignment possible.
Risk level provides the fast triage lane. Ping64 grades USB risk across six levels: none, minor, ordinary, warning, high, and critical. It also surfaces risk-type labels such as sensitive-department exposure, cross-endpoint hopping, bulk transfer, sensitive-file match, and re-appearance of a frozen or lost device. The toolbar at the top of the list supports combined filters on risk level, USB type, and claim category, along with a date range selector for the observation window. The search field spans device name, asset code, user, department, and tags, which is what makes Ping64 effective when a large environment needs to isolate one suspicious flash drive.
A Complete Workflow for Operationalizing USB Control Inside Ping64
The following workflow is directly reusable. It walks from ledger discovery through to approval gating, and each step states where to go inside Ping64, what to configure, who the configuration acts upon, and how to verify that it landed.
Step one: enter the mobile-storage ledger and take stock of the drives actually in circulation.
Open the Ping64 console and navigate to Endpoint Management / Mobile Storage from the left sidebar. The top date range defaults to a recent activity window; when no filters are applied, the page lists every USB drive the clients have ever observed. Widen the date picker to at least the last thirty days, then set the claim category filter to Unclaimed and the USB type filter to Normal Drive. The result is a worklist of devices not yet under management. The scope of this step is every USB serial ever captured by the client fleet. To verify: the “discovered mobile storage” count on the top card must match the row total in the table; if it is suspiciously low, the clients may not be reporting, and the endpoint online status should be checked first.
Step two: claim the corporate drives. In the row action menu, choose “Register as corporate asset”.
Ping64 opens the unified claim dialog. Set the category to Corporate Asset, set the status to In Use, fill in the asset code and security level, expand the responsible-department picker to choose a department node, and then use the responsible-owner picker to select a specific endpoint user within that department. If the drive currently has a named holder, pick the corresponding endpoint from the holder picker. Fill purpose, tags, and notes per internal convention. This acts on the single physical device uniquely identified by its USB serial. To verify: the claim column in that row should flip to a primary-colored corporate-asset badge with the asset code displayed, and the “claimed” card counter at the top of the page should increment by one.
Step three: identify and quarantine watchlist drives.
For any device whose risk level shows as High or Critical, or whose risk-type labels include sensitive-department exposure, bulk transfer, or re-appearance of a frozen or lost device, use the row action menu to pick “Add to watchlist”. Ping64 opens the same claim dialog with the category preset to Watchlist. The status field is locked to the unclaimed semantics in this mode, so the administrator only needs to record the reason in notes and save. The scope is every future access by this drive. To verify: the claim badge in that row switches to the destructive-style Watchlist variant, the “watchlist” counter at the top increments by one, and the device rises toward the top of the default sort due to claim-category weight.
Step four: set up lightweight lanes for personal and visitor drives.
For a USB drive confirmed as an employee’s personal device used only for ad-hoc business scenarios, select “Mark as personal drive”. For a device brought in by a vendor or external visitor, select “Mark as visitor drive”. In both cases the dialog locks the asset status to unclaimed semantics, but the category information is still written to the ledger. The scope is how this drive is identified in all subsequent interactions with the enterprise. To verify: switch the claim-category filter to Personal Drive or Visitor Drive and the newly tagged device should appear immediately, while the corporate-asset and watchlist counters remain unchanged.
Step five: configure the USB access policy and wire it to the approval flow.
In the left sidebar switch to Endpoint Management / USB Access and open the Policy tab to create or edit a policy. The critical configuration items are the default action (allow, approval, block, or observe), the grant scope (device, endpoint, or user granularity), the matching rules (vendor, model, and type conditions), the offline fallback action (allow cached, approval-block, or block unknown), the maximum temporary grant duration, the referenced alert rules, and the HID exemptions (keyboard, mouse, touchpad, internal bus, trusted HID). The scope is the endpoint population matched by the policy. To verify: open the USB Access Overview tab where the three top metrics (total USB access, blocks today, high-risk access today) refresh as clients report in, and then cross-check execution results under the Devices, Events, Alerts, Approvals, and Reports tabs.
Beyond the main flow, several boundary scenarios need attention. First, clearing a claim: the claim dialog has a Clear button in the bottom-left corner that resets the USB to unclaimed and unowned, wiping all asset fields. Use this for retired assets or misregistered serials; the claimed counter at the top decrements accordingly. Second, approval release: when a policy sets the default action to Approval, a user inserting a USB on an endpoint triggers a pending approval event. In USB Access / Approvals, the administrator sees the queue and can click Approve or Reject; approving allows a temporary grant duration and comment, rejecting allows a reason. The decision is written to the event stream, with success or failure surfaced through toast notifications. Third, risk alert review: USB Access / Alerts supports filtering by severity and disposition, while Mobile Storage / Detail opens a per-drive view with a session timeline, file events, and risk events. The detail page tags low-confidence devices explicitly so that administrators do not over-react to small samples.
Why Treating USB Drives as Enterprise Assets Actually Matters
Looking at the capability structure that surfaces in the Ping64 codebase, the value of USB management extends well beyond blocking. Ping64 treats every USB drive as an asset with a lifecycle. From the first moment the drive appears inside the enterprise, through claim, classification, usage, observation, freezing, and even retirement, a structured trail is preserved. Authorized drives address the problem of corporate-issued media being misused. Encrypted drives address the problem of sensitive data remaining protected even after it lands on removable media. Read-only and secure drives provide differentiated options for specific scenarios, such as vendor-material read-only distribution or controlled outbound data packs. The approval workflow moves exception requests out of the grey zone and into a traceable, time-bounded process.
For security administrators, the USB asset view built on Ping64 delivers two indirect payoffs as well. First, it makes policy explainable. In an audit review or a briefing to management, it becomes possible to state concretely how many corporate drives were added this month, how many entered the watchlist, how many accesses were blocked, and how many were released through approval, rather than offering an abstract risk score. Second, it makes cross-functional collaboration cleaner. Business units can carry authorized drives within defined guardrails. Operations teams can locate the responsible endpoint and owner instantly via the asset code. Compliance teams can run targeted reviews off the claim ledger. All three are working from the same record set.
Once USB drives are truly absorbed into the asset view inside Ping64, the historical grey area around “who was actually using this drive, where did it travel, and what was written to it” shrinks substantially. The point of this article is not a single policy or a single toggle. It is that Ping64 stitches authorized drives, encrypted drives, and approval-based release into one control frame wrapped around the entire USB lifecycle. For enterprises moving from legacy endpoint management tooling toward an asset-centric data security platform, the approach of anchoring governance on real device instances inside Ping64 is worth treating as a foundational capability and investing in for the long term.
